Basic services

Sustainable management of your properties means continual maintenance and upkeep. We are happy to take on these tasks under a full mandate. You also have the option of only delegating to us the tasks that you can’t cover yourself, or only partially cover. 

 

You receive the following services under your mandate agreement:

Rental phase

  • Publication of the listing on livit.ch, which gets over 600,000 visits every year
  • ‘Other clients also bought’ recommendations on listings 
  • Acquisition of prospective tenants through Google Ads targeting areas with high vacancy rates (1/3 of hits)
  • Fully digital rental process including initial contact (application), credit check, signing the rental agreement – and more
  • Organising and carrying out viewings with prospective tenants
  • Checking the registration and credit information of interested parties
  • Securing deposits
  • Contract management: Drafting and concluding rental agreements 
  • Sending newsletters to incoming tenants containing important information

 

Looking after tenants during the tenancy 

  • Looking after tenants on a day-to-day basis
  • Billing ancillary costs and applying any necessary adjustments (in agreement with owners)
  • Key management (property/tenant/caretaker/general)
  • Contract management: adjustments, renewals, adaptations

 

Tenants

  • Contract management: terminating contracts
  • Inspecting and handing over properties when a tenant changes
  • Preparing relevant protocols
  • reparing final invoices when a tenant changes

General care

  • Regular inspection of the properties to check the overall condition, plus reporting as required 
  • Purchasing heating energy

 

Maintenance and repair works (up to the agreed fee)

  • Awarding contracts for preventive and necessary repairs and maintenance to qualified tradespeople, contractors and suppliers
  • Overseeing and monitoring the contracts awarded 
  • Getting between one and three quotes (depending on the scope of the maintenance job)
  • Recording and dealing with minor damages and insurance claims 
  • Passing on the cost of any repair and maintenance works to tenants 

 

Facility Management

  • Preparing and monitoring house rules, laundry room regulations and washing schedules
  • Concluding, renewing and terminating agreements with facility management companies
  • pervising and monitoring facility management companies with the help of the published specifications

Rental agreements

  • Concluding, renewing and terminating rental agreements

 

Maintenance contracts

  • Taking over or concluding maintenance contracts
  • Renewing and terminating maintenance contracts for fire protection equipment, lifts, heating, air conditioning, electrical installations, laundry rooms, etc.
  • Regular review and adjustment of the scope of service 

 

Insurance policies

  • Taking over or concluding insurance policies
  • Renewing and terminating insurance policies
  • Regular review and adjustment of the scope of cover

Transactions

  • Maintaining a free fiduciary collective account with secured liquidity 
  • Collection of rental payments and ancillary costs on the due date incl. balances and dunning
  • Securing deposits
  • Checking and paying supplier invoices
  • Electronic storage of receipts for ten years

 

Accounting

  • Keeping property accounts
  • Preparing an annual management invoice

 

Heating and operating costs invoice

  • Keeping heating and operating costs accounts
  • Preparing invoices and direct billing for tenants
  • Annual proposal for rental charges with reference to local market rents 
  • Preparation of the annual budget for the following year 
  • Report on vacancies
